Bookkeeper

Bookkeepers record and manage the day-to-day financial transactions of a business. The role sits at the practical end of accounting work, keeping records accurate so that accountants and business owners can make informed decisions.

What this job is

A bookkeeper keeps a business's financial records in order. That means recording income and expenses, reconciling bank accounts, processing payroll, managing accounts payable and receivable, and preparing reports such as profit and loss statements. The work is detail-focused and repetitive in a structured way. Most bookkeepers use accounting software such as Xero, MYOB, or QuickBooks. Some work in-house for a single employer; others operate as contractors serving several small businesses at once.

Day-to-day

A typical day could include logging invoices, matching bank transactions to the ledger, chasing overdue payments, running a payroll batch, and answering queries from the business owner or their accountant. Month-end periods tend to be busier, with reconciliations and reporting due. Bookkeepers who work across multiple clients often move between different software platforms and chart-of-accounts structures, which adds variety but also requires careful organisation.

Requirements

The standard entry qualification is a Certificate IV in Bookkeeping (JSA Occupation Profile). This qualification covers financial transactions, payroll, business activity statements, and accounting software. It is available at TAFE and registered training organisations across Australia. Some providers offer it fully online. You can search for providers and check fee-free TAFE eligibility at yourcareer.gov.au or dewr.gov.au/skills-reform/free-tafe. People changing careers from administration, retail management, or small business ownership often find they already have relevant practical experience that supports formal study.

The honest hard part

The real challenge in bookkeeping is accuracy under time pressure. A single data entry error can cascade through a set of accounts and take hours to trace and fix. Business owners often need reports quickly, and the expectation is that the numbers are correct the first time. For career changers, the learning curve is less about understanding concepts and more about building the habit of systematic checking. Software changes frequently, and staying current with updates to payroll legislation, superannuation rates, and GST rules is an ongoing responsibility, not a one-off task.

Where the jobs are

Bookkeeping roles tend to follow the concentration of small and medium businesses, so capital cities and regional centres with active commercial activity are common locations.
